Senior Records Coordinator

Temp to Perm Position:
Responsible for assisting the Records Manager in the day to day business operations of the McGraw-Hill Companies’ Global Records Management and Compliance program.
§ Review and process all records management requests submitted to the Facilities Call Center. Review archive transmittal forms for accuracy and confirm compliance with MGH records management program policies, procedures and retention schedules. (50%)
· Conduct computer searches upon request to locate archived information from offsite storage providers.
· Ensure that all requests are completed in a timely and accurate manner.
· Research and resolve discrepancies encountered during the above processes and communicate difficult issues or problems to manager.
· coordinate all record traffic to and from the offsite records storage vendor
§ Assist in maintaining the corporation’s records retention schedule database by creating new schedules, revising existent schedules and tracking schedule approvals. (25%)
§ Coordinate requests for secure shredding bins with the vendor and coordinate delivery of bins for adhoc department clean-outs. (25%)
§ Assist in identifying and updating record information for files stored prior to the launch of the records management program
§ Complete special projects as assigned by a Records Manager.
§ Processes monthly Iron Mountain and Secure Shredding provider invoices.
§ Participate in making arrangements for records reviews, periodic records management training and department records coordinator meetings
§ Assist in the coordination of the annual company clean-out
Knowledge & Experience:
§ Some college and at least 3 years prior Records Management work experience preferred in a corporate or legal environment to assist with analyzing records management requests
§ Ability to communicate records management requirements effectively with employees at all levels.
§ Ability to organize information, prioritizes, and concentrates on detailed information.
§ Requires a general use and application of Records Management concepts, practices and techniques.
§ Skilled in working with records management database systems
§ Ability to communicate effectively in Spanish is a plus.
§ Intermediate knowledge of Microsoft Office
