ARMA NYC Survey and Prize Drawings

Dear ARMA Metro NYC Member:

The Board of Directors of ARMA Metro NYC is constantly striving to make your local ARMA chapter membership experience a productive and fulfilling one.

We realize many of our members have busy work schedules, on top of personal and other commitments. While many of our members take full advantage of an accommodating schedule, comfortable environment and the unique networking and educational opportunities afforded by participating in local chapter meetings, we feel some are missing out.

We know few things can do more for the advancement of our members’ careers and professional standing than active involvement among a group of peers who comprise some of the world’s leading thinkers and practitioners in the field of records and information management. This is all the more relevant in today’s volatile commercial climate, and the rapidly shifting landscape of the RIM profession.

As we plan for next season’s speaker sessions, we look to our member community for feedback and fresh ideas to complement the countless existing benefits of attending ARMA Metro NYC chapter meetings. Please take several minutes to share your thoughts with us in this brief survey. Your responses will help us better understand how we can provide the most engaging topics, exciting speakers and relevant content to make your membership in ARMA Metro NYC work best to your professional advantage!

MAY 11, 2009 CHAPTER MEETING SUMMARY

As our 2008-2009 Season draws to a close, this month’s May 11th Meeting served as our final educational meeting of the year.   After greetings from Chapter President, Melissa Dederer, the evening’s Sponsor George Cunningham of PelliGroup Consulting, Inc. addressed some 55 attendees at our current venue, the Midtown Executive Club, 40 W. 45th St., NY, NY 10019.  PelliGroup provides domestic and international consulting services in all aspects of records and information management.  Visit them at www.PelliGroup.com.

The evening’s Raffle offered a chance to win one of two (2) prizes; a pair of Mets tickets donated by Scott Schneider, Applied Computer Technologies or, a copy of PelliGroup’s book, “A Lawyer’s Guide to Records Management and Records Retention,” published by the American Bar Association.  By way of announcements, Chapter Members were reminded that it is time to elect the Chapter’s 2009-2010 Board of Directors.  Watch your Inboxes for ballots and voting information.  Also, ARMA International’s 2009 Conference in Orlando, Florida, will offer an ICRM Pre-conference training event to help CRM candidates prepare for the CRM Exam.  Visit www.arma.org/conference/2009/ for information and registration.

Tenure Pins were issued.  For his (15) years of (tenure) Chapter Membership, a Tenure Pin was issued to Joe Germinario.  For their (10) years of (tenure) Chapter Membership, Tenure Pins were awarded to Past Chapter President Galina Datskovsky and Current Chapter President Melissa Dederer, Past and Current Board Members Vladimir Alfaro and Lauren Barnes.  Also honored were Members Steve Bereza, Edith Bloch, Mary Bogart, Alex Brown, Laurence Dresner, Jeffrey Gibson, Joel Petitti, Frank Santiago, Steve Schlake and Elizabeth White.  Join Metro in congratulating these and all of our Tenured Members.  Tenure Pins for Members having 5-9 years of Membership in our Metro NYC Chapter will be similarly honored this Fall during either our September or October Chapter Meetings.  Finally, our End-of-the-Year Event will take place on June 18th, 2009 at Hurley’s Restaurant, 232 W. 48th St., NY, 6-8pm.  Visit our Chapter website for registration information, www.armanyc.org.
During coffee and dessert our evening’s presenter was introduced; ARMA International Educational Foundation’s 2008 Research Grant recipient, Virginia A. Jones, CRM, Records Manager for Newport News Dept. of Public Utilities.  Her evening’s slides are already posted on our Chapter’s website, http://armanyc.org/w/?p=1498 or, visit http://www.armaedfoundation.org/reports.php for free downloads of her full research report which was sponsored by the AIEF and our Metro NYC Chapter.   Her topic, “Federal Requirements for Personal Information Protection,” was timely and drew friends and Chapter Members who manage information in both domestic and international markets.
An informative presentation, made gloriously interactive by peeked attendee interests, several points to remember included the fact that no one law that covers every privacy need; more laws, Acts and amendments are needed.  Among the 79 million records reported compromised at the end of 2007, almost all were to due to internet/computer reliance, data sharing, theft and organizations selling information or gaining access through the acquisition of other organizations.  Moreover, folks throw away without shredding, they phish, hack, spam, stalk,  Google, Yahoo, prey upon children and unscrupulously misuse information.  As such, everyone in our society today needs information privacy; children, citizens, employees, customers, consumers, medical care recipients and even, Virginia’s home State of Virginia!  Last year, someone hacked into the State’s medical database.  For many months now, and by email, they have been holding State pharmacy records for a $10 million ransom!
We know that Social Security numbers, medical records under HIPAA and personal identifiers top the list of privacies to be protected.  What RIMs run into most are the laws and regulations effecting the lifecycle of records from creation, file management, protection and access to retention/disposition.  While our Federal Laws have done much; included several definitions of RIM terms, a single “Act” like the Patriot Act for example, changed some 8-9 existing laws in a single bounce, we have not kept pace with the demands of bodily, territorial and communications privacy (including CCTV and Google Maps aimed into residential windows) as well as our European counterparts.  In fact, the EU has felt the US has been “too lax;” adding that it “permits too much and must change, in order to do business in the EU.”  Sure, “the EU’s tougher about everything but not all of its member’s laws are harmonious.”  Much the same as we face challenges in Motor Vehicles Departments selling motorist’s information to insurance companies, credit card, medical records companies and so on.  But while “the bad guys never sleep,” neither does our Congress.  Virginia’s Research Report was limited to only high profile cases and 28 Federal Laws, their requirements, misuse guidelines and consequences.  Please refer to her Table at the end of her paper.
Attendees discussed differing markets and styles of recordkeeping in China and Russia.  Also, discoverability in the US remains a concern where today, “lawyers and firms are going after records resident at “your” lawyer’s offices!”  So now, more than ever, discard records according to the rules.  To help, Virginia’s paper lists a host of resources and sites through which to remain current and conduct your own research.

September 11, 2008 Chapter Meeting Review

With a combination of new and familiar faces, our first monthly Chapter Meeting for the 2008-2009 Season convened at an exciting new venue, the Midtown Executive Club.  In rooms that the British would describe as “neat” (meaning cozy), we accomplished a full agenda and, an educational session.  At the start, greetings, salutations and a moment of silence for the fallen heroes of 9/11 led by our new Chapter President, Melissa Dederer.  Next, introductions of our new Board, a community service appeal from Team Captain, Frank La Sorsa; the RIM Riders will BikeNYC on Oct. 5th to benefit the Multiple Sclerosis Foundation, (please remember to give) then food, glorious food.

Our special guests for the evening were actually Chapter Members who had been Chapter members for more than 30 and 35 years, respectively, and our Vendors, whose unwavering support over the past year was greatly acknowledged by immediate Past President, Marcel Rodriguez.  By way of announcements, our next CRM Workshop will be Sept. 23 & 24th.  ARMA Vegas approaches and a free guest ticket was raffled to IDC Kahn’s 9/17 Event.  To further build Chapter funds, an iPod Mini was also raffled, with additional raffle opportunities promised throughout the year.  ‘ Honored Member of the Year ‘ was awarded to Chapter WebMistress and Newsletter Maven, Maria Richardson for her years of service.  And Chapter ‘ Member of the Year ‘ was awarded to Crystal Cutler for her energy and commitment to Chapter initiatives.  A special plaque was awarded to Northeast Region Coordinator, Steve Lastres, for his tireless efforts and leadership, especially throughout the June 2008  Northeast Leadership Conference in Saratoga Springs, NY.

Our educational presenter, Paul Lippe in his presentation entitled, “Ramp Up Your Records Program with Enterprise 2.0,” outlined how sophisticated folks are using collaboration technologies to improve productivity for lawyers, legal departments, Records Managers, Librarians and Compliance Officers.  Former General Counsel and Founder of Legal OnRamp, Lippe said, “the world of clients is changing fast, we have to change quickly to adapt.”  Legal OnRamp is where lawyers collaborate, hold peer-to-peer discussions and share resources.  Also, Web 2.0 will replace email.  Managing information here, as well as in social networks like MySpace, Facebook and LinkedIn, will be a challenge.  When asked, “what then, is a record?”  Lippe used Barack Obama’s now famous reply, “that’s above my pay grade” and closed with an invite for attendees to post their questions on Legal OnRamp for a number of folks to answer.

The only drawback?  Not all of our 337 Chapter Members were there!  So here’s hoping we see everyone at the Oct. 7th meeting.  And please, register in advance so that ample food and space can be provided for all.

November 12, 2008 Chapter Meeting Review

Topic: Digital Trends  Speaker: Alan A. Andolsen, CRM, CMC

The growth of digital information has been staggering. Even though paper records and other analog media continues a steady linear increase, digital information doubles in size every four years. Some in our industry have perceived this growth in digital information as a direct threat to the long-term viability of the industry. Others see it as a spectacular business opportunity and have already begun investing in the technology and human resources necessary to apitalize on digital information growth.

Our third Chapter Meeting of the 2008-2009 Season began with the reading of a Thank You letter from the AIEF (ARMA International Educational Foundation).
In appreciation for Metro NYC’s Grant award that funded a research project undertaken by Virginia Jones, CRM, FAI, Metro NYC was widely recognized both
here at home and at ARMA, Las Vegas.  In addition, Chapter President Melissa Dederer, reported that the Study produced was timely and well prepared.
“Metro truly got its money’s worth,” she added.  Members were encouraged to visit www.armaedfoundation.org, download and read the Study entitled,
“USA Federal Requirements for Personal Information Protection.”

Arlene Bronstein was honored for her years of Membership and Records Management service as she retired from the RIM profession.Chapter President, Melissa G. Dederer, CRM, presented Arlene with a
Certificate of Merit and a lovely crystal bowl from Tiffany’s.

Recognition also went to NY’s own, NY Life Insurance Company, who was the first-ever recipient of ARMA International’s Cobalt Award.
Mark Kamien addressed the Membership on behalf of the evening’s Sponsor, InfoCurrent.
VP-Chapter Membership, Lauren Barnes, addressed the Membership on behalf of a noteworthy Community Service event; Launch of the “Just tell.org” website
and youth Step Team.  Written by kids, in kid’s language, “Just Tell.org” helps sexually abused kids and teens learn how to choose an adult to trust
and tell about their abuse.  Donations of $25.00 were common for this event however, donations of any amount continue to be welcomed.
Visit www.justtell.org or call 1-800-4-A-Child.

Chapter Executive Vice-President, Crystal Cutler received the Chapter Member of the Year Award on behalf of  Metro NYC and ARMA International.
Then, desserts and the commencement of our Educational segment, “Digital Information Trends.”  Presenter Alan Andolsen, CRM, CMC, is President of
both Naremco Services and the ICRM and a 35+-year Member of our Metro NYC Chapter.

A captivating presentation that highlighted the abounding opportunities resident in the exponential growth of digital information; Alan reminded everyone that the challenge continues to be, how to manage it all?  We’ll have to know where the Digital Information lives and when needed, how to get it all back.
As we embrace Web 2.0, we must ask, what about Web 3.0? How do we deal with Cloud Computing, E-Ink, Holography, Electronic Ink, RFID Powder and the Human Body as Network.
Will the definition of a document change as a result of these new technologies. What will the evolution of Records Management look like in 5 or ten years? Will we be ready?
However, President Andolsen admonished Members, “Don’t get blindsided by these emerging technologies, learn a bit more.”

As President of the ICRM, Alan encouraged the membership to pursue their CRM certifications.  In addition to the knowledge gained, CRMs earn 35 - 40% more than non-certified Records Managers.
At the closing, one attendee mused, “Al, is that really you up there presenting to us tonight or a hologram?”  To which Alan replied, “Beam me up, Scotty.”

By way of announcements, there will not be a December meeting this year.  The January 13th Meeting and the February 11th All-day Seminar at the NYC Conference Center will both be posted on our website.  Visit often for updated information.  Each promises to be invaluable.  Plan now to attend.
